Industrial Fastener Procurement Checklist for Bulk Buyers
A purchasing checklist for RFQs covering standards, dimensions, material, grade, coating, inspection and packaging requirements.
1. PRODUCT STANDARD OR DRAWING
State the DIN, ISO, ASTM, customer drawing number or other governing specification. If an equivalent standard is acceptable, say which dimensions and performance requirements may vary and which must remain identical.
2. SIZE AND THREAD
Provide nominal diameter, thread pitch, length, thread length where important and tolerance requirement if it is not already controlled by the product standard.
3. MATERIAL AND PROPERTY CLASS
Specify carbon steel, alloy steel, stainless steel group or exact material as required. Include the mechanical property class or grade. For a nut-and-bolt set, ensure the mating components are compatible.
4. FINISH OR COATING
State zinc plating, hot-dip galvanizing, black finish, passivation or another coating system with the required specification and coating class where applicable. Do not use only a colour description.
5. QUANTITY AND PACKAGING
List quantity by size, preferred pack quantity, labelling requirements, lot segregation and whether mixed lots are acceptable. For production lines, consistent packaging can be as important as unit price.
6. CERTIFICATES AND INSPECTION
Define whether you need a manufacturer certificate, material test certificate, dimensional inspection report, coating report, hardness testing, traceability or third-party inspection. Certificate requirements should be agreed before manufacture or dispatch.
7. APPLICATION INFORMATION
When a supplier is being asked to recommend an item, provide the actual application: load, environment, mating material, temperature, vibration and whether the joint is safety critical. Without this information, a responsible supplier can only quote against the written specification.
8. COMMERCIAL DETAILS
Include delivery location, required date, GST billing information, payment expectations, freight terms and whether partial delivery is acceptable.
A strong RFQ separates technical compliance from commercial comparison. This helps buyers avoid receiving a lower-priced quote for a different grade, coating or standard that only looks equivalent on the surface.
